This notice gives you information on how Elegance collects and processes your personal data through your use of this website or our services, including when you subscribe to our newsletter, purchase a product or service, or contact us by email, phone, WhatsApp, SMS or post.

This website is not intended for children, and we do not knowingly collect data relating to children directly.

Elegance (Concierge) Limited (referred to as “Elegance”, “we”, “us” or “our” in this notice) is the controller and responsible for your personal data. This notice applies to both Elegance Concierge and Elegance Ticketing.

  • apply for our membership, use our services or purchase tickets/experiences;
  • subscribe to our newsletter;

  • correspond with us by phone, WhatsApp, SMS, email or post;
  • enter a competition, promotion or survey; or
  • provide us with feedback.

Automated technologies or interactions.
As you interact with our website or emails, we may automatically collect Technical Data about your equipment, browsing actions and patterns. This includes:

  • tracking interactions with our marketing emails (for example, whether you open them or click on “read more” links);
  • tracking visits to our website newsletters and pages;
  • use of cookies, server logs and pixels provided by HubSpot and Google Analytics.

 

Cookies and Tracking Technologies
For website cookies and similar technologies, we rely on the choices you make through our cookie banner.

For marketing emails, we rely on your consent to receive marketing, which you may provide through sign-up forms, email, WhatsApp or other written confirmation. Marketing emails may include tracking pixels so that we know if they have been opened or if links have been clicked.
You can withdraw consent or change your preferences at any time using the unsubscribe link in our emails, by contacting us, or by adjusting your cookie settings on our website.

Third parties and public sources.
We may receive personal data about you from analytics providers such as Google (outside the EU), or from public sources such as Companies House and the Electoral Register (within the UK/EU).

 

3. The Data We Collect About You

We may collect, use, store and transfer different categories of personal data, including:

  • Identity Data: name, title, date of birth, gender.
  • Contact Data: address, email, phone numbers, preferred communication channels (including WhatsApp).
  • Financial Data: we do not store payment card details. Payments by card are processed securely by Stripe or another authorised payment merchant on our behalf. If you pay by bank transfer, we will only see the details included with that transfer (such as the payer name, account reference and amount) through our banking provider.
  • Transaction Data: details about services or tickets you purchase, payments to and from you.
  • Profile Data: membership information, service history, preferences, survey responses, interests.
  • Usage Data: information about how you use our website, newsletters and services.
  • Technical Data: IP address, browser type, time zone setting, operating system and similar technology.
  • Marketing and Communications Data: your marketing preferences and communications choices.

In order to provide our services, we may also collect limited personal information relating to your family members, assistants or representatives where you choose to provide it. This may include names, contact details, birthdays, dietary or travel preferences.

For legitimate purposes such as fulfilling bookings, we may securely hold copies of passports or identity documents for the duration of your membership. We may also process limited health information you provide (e.g. dietary requirements, allergies, accessibility needs).
We do not collect information on criminal convictions and offences.

 

4. How We Use Your Personal Data

We will only use your personal data when permitted by law. Most commonly, this will be:

  • to perform a contract with you (e.g. fulfilling a booking);
  • where it is necessary for our legitimate interests and your rights do not override those interests;
  • to comply with a legal obligation;
  • where you have given consent (e.g. for marketing emails or cookies).

Examples include:

  • Registering you as a member or client.
  • Processing and fulfilling bookings and requests.
  • Managing payments, fees and charges.
  • Communicating with you via email, WhatsApp, phone, SMS or post.
  • Sending newsletters and marketing (subject to your preferences).
  • Analysing website and email usage patterns (via HubSpot and Google Analytics) to improve our services.

You can opt out of marketing at any time by contacting us.

 

5. Disclosures of Your Personal Data

We may share your personal data with:

  • Suppliers necessary to fulfil your requests (e.g. hotels, airlines, ticketing providers, restaurants, chauffeurs).
  • Service providers who deliver IT, payment processing (Stripe), or analytics services.

  • Regulators or authorities where legally required.

We do not share your data with affiliates or introducers, and we never sell or rent marketing lists.

Because we operate globally, we may transfer your personal data outside the UK and EEA to suppliers in other countries. Whenever we do so, we ensure appropriate safeguards are in place, such as:

  • transferring to countries deemed to provide adequate protection by the UK or EU;
  • using contracts approved by the UK or EU Commission;

We have put in place security measures to protect your personal data from loss, misuse, unauthorised access, disclosure, or alteration. Access is restricted to employees and partners who need it to provide services, and they are subject to confidentiality obligations.

  • Membership data: retained for the duration of your membership.
  • Identification documents (e.g. passports): retained only while your membership is active and securely deleted afterwards.
  • Transaction records: retained for up to six years after membership ends, for legal and tax purposes.
  • Marketing preferences: retained until you opt out.

  • Request correction of the data we hold.
  • Request erasure of your data (where there is no lawful reason for us to continue processing it).

  • Legitimate Interest means our interest in conducting and managing our business to provide you with the best service securely and efficiently.
  • Performance of Contract means processing your data because it is necessary to provide services you have requested.
  • Comply with a legal obligation means processing your data where necessary for us to comply with laws or regulations.
